Use of Your Personal Information
We may use the information that we collect or receive about you for various purposes.
-
To Provide You With Our Services.
We use your information to provide you services with respect to the YWCA Retirement Fund. Your information may be available or provided to third-party service providers that are contractually obligated to protect your information.
-
To Maintain, Improve and Personalize Our Services.
We use your information for our day-to-day business operations, including auditing, administration, and analytics. Your information may also be used to improve our Services or to personalize your Services.
-
To Communicate with You.
We use your information to communicate with you. If we send you emails, each email will include instructions permitting you to "opt out" of receiving future electronic communications.
-
For Account Purposes.
We care about keeping you secure and safe while using our Services. Keeping you safe requires us to process your personal information. We use such information to combat spam, malware, malicious activities, and security risks; improve and enforce our security measures; and to monitor and verify your identity so that unauthorized users do not gain access to your information.
-
To Maintain Legal and Regulatory Compliance.
Our Services are subject to certain laws and regulations, which may require us to process your personal information.
-
For Our Business Purposes.
We may use your information for any other purpose disclosed to you at the time we collect or receive the information, or otherwise with your consent. We may share your information with our affiliates (entities that control or are under the control of the YWCA Retirement Fund) for business purposes. We will require these entities to comply with the terms of this Policy with regard to their use of your information.
SMS Communication and Multi-Factor Authentication (MFA) Policy
This section is dedicated to detailing the use of your mobile phone number in connection with our Multi-Factor Authentication (MFA) service. We are committed to absolute transparency regarding how this sensitive data is handled.
-
Scope and Purpose of SMS Communication
We use SMS (text messaging) strictly for Multi-Factor Authentication (MFA) and immediate alerts related to your account access, such as notification of a password change attempt. The sole and exclusive purpose of collecting and utilizing this number is to provide you with a time-sensitive, one-time security code (OTP) necessary for verifying your identity at the time of login, when attempting to make critical account changes, or for emergency account recovery procedures. This restriction ensures that the channel is reserved purely for securing your account.
-
Consent and Opt-In Mechanics
By enrolling in our SMS MFA service, you consent to receive text messages from us for security purposes only. We do not compel you to use this method; it is an elective security enhancement.
Upon successful enrollment, you will receive an initial welcome message confirming your subscription to the MFA service and reiterating the core terms (frequency, rates, opt-out). Message frequency is inherently variable because it depends entirely on your account activity (i.e., how often you attempt to log in or initiate critical actions). Standard message and data rates may apply to any texts you send or receive, as determined by your personal wireless carrier contract; we do not charge for the messages ourselves.
How to Consent and Opt-in:
Step 1 - Browse to My Personal Information -> Security Options and check the option SMS/Text, (see image below).
Step 2 - Accept and Agree the Concent and Disclaimers form, (see image below).
Step 3 - Save your changes, (see image below).
-
Opt-Out and Service Cancellation Procedures
You retain full control over your data and have the right to opt out of our SMS MFA service at any time without penalty.
-
To Opt-Out: You may reply with the keyword STOP to any message received from our dedicated security short code. The use of this keyword ensures the opt-out process is simple and universally understood.
-
Effect of Opt-Out: Upon receiving an opt-out keyword, our system is configured to immediately and automatically cease all further SMS communications to your number, except for a mandatory final confirmation message acknowledging your unsubscription. We strongly encourage all users to retain a form of MFA, as removing it reduces your account's security posture. Opting out of SMS MFA may require you to switch to an alternative, highly recommended MFA method (e.g., an authenticator application or security keys) or, if no alternative is configured, it may revert your account to a less secure password-only login process.
-
To Re-subscribe: Should you wish to re-enable this convenience and security measure, you may reply with the keyword START or UNSTOP.
-
-
Support and Information
We are committed to making our service usable and transparent. For immediate assistance or technical support regarding the SMS service, you may reply with the keyword HELP to any message received.
-
Data Security and Retention Measures
When you provide your mobile phone number for MFA, we employ industry-standard security safeguards designed to protect your data. We will retain your phone number only for as long as your account is active and the MFA service is actively enabled. If you permanently opt out of the SMS service, or if you fully delete your account, your phone number will be removed from our active SMS database in accordance with our general data retention and deletion policy.
